Vendor Manager (PR Team) 

This is one of the most critical roles in the PR team of managing and building relationships with global vendors, monitor and update pricing sheets, and overlook execution of PR projects. 

Role Description 

We are seeking a highly organized and proactive Vendor Manager in our PR Team to join our dynamic PR and media placement agency. The ideal candidate will bring extensive experience in managing and building relationships with vendors, negotiating, and overlooking multiple projects within the media or communications industry. This role is pivotal in ensuring seamless execution of PR projects, managing timelines, and optimizing resources to achieve client objectives effectively. It also requires managing the execution of PR projects. The person will manage 2 people under them who are responsible for project co-ordination. 


  • Vendor Management: Create, maintain and strengthen relationships with external vendors, negotiate contracts, and ensure deliverables are met within scope and budget 
  • Campaign Execution: Collaborate with internal teams (PR specialists, content creators, designers) to develop and implement PR and media placements 
  • Maintain and update pricing information: Maintain and update information on pricing, delivery, requirements, and other key details from vendors and communicate this information with team members regularly 
  • Quality Assurance: Conduct thorough quality checks on deliverables to maintain high standards and ensure client satisfaction 
  • Performance Analysis: Monitor and evaluate campaign performance metrics, providing insights and recommendations for optimization 
  • Budget Oversight: Closely manage project budgets, track vendor invoices, and payments to vendors and inform the leadership team 
  • Risk Management: Identify potential risks and issues proactively, provide solutions to them, and escalate issues as needed 
  • Continuous Improvement: Stay updated on industry trends and best practices, contributing to the agency’s growth and innovation initiatives 
  • Client Communication: Act as the main point of contact for clients, providing regular updates on project status, milestones, and addressing any concerns promptly 


  • Experience: Minimum of 3 years and a maximum of 6 years of experience in a role managing vendors for online services, preferably in a PR agency or media environment 
  • Comfortable with numbers: Must be comfortable with numbers to tally invoices, work out pricing, negotiate with vendors, and more 
  • Communication: Strong verbal and written communication skills, with the ability to build relationships and collaborate across teams. 
  • Negotiation skills: Excellent negotiation skills to deal with vendors across the globe, get the best deals, and work out beneficial deals for the organization  
  • Proactive approach: Proactively approach potential issues, lead the way for new ideas, proactively step in to solve vendor or execution issues  
  • Savvy with critical software and tools: Familiarity with project management tools (e.g., MS Teams, Trello) and proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint).

  • Timings: 6:00 pm to 3:00 am IST (adjusted as per daylight savings) Monday to Friday
